Hello Friends,
I’ve been looking over my Ebay performance, and I’ve been surprised to see that I’m missing my Top Rated seller level (and the discount I want) because of a “Late Shipment Rate” that’s at 4.94% when it needs to be at 3%.
I’m confused because I pack and ship every day, and I even take my packages to the post office myself. I don’t wait in line and have them scanned right away – I always drop them in the bins inside the post office.
Even though I stay on top of it every day, I seem to have a few items each month that somehow show up as having shipped late. Does this happen to anyone else? I’d really like to get this figured out as I would like to enjoy the discount for all my hard work.

Last year, I was using the bin at my local post office to ship items. At the beginning of this year, I mailed a book using the bin, and no information showed up about it for 9 days. I’m guessing that it got lost somewhere in the regional center or accidentally was left on the truck for a few days. Another possibility is that someone decided to inspect the package to make sure it was actually media mail.
Thankfully, the seller was OK with the delay, but it ended up counting against me. Since then, I stand in the line to make sure my items are scanned right away. I use the scan sheets to help out the cashiers. They know me pretty well, so I guess that is a good thing if I ever have an issue.
To get the scan sheet, you need to buy labels for all your items at once (except for international), and you have to check the box that you want a scan sheet prior to paying and printing out the labels. When you go to print out labels, you can print out the scan sheet as well.

All I can say is that packages I have mailed 2 days ago have not been scanned–frankly I am sort of freaked out about it, although these are first class packages which may not get scanned until delivered, I think that I may just have to start waiting in line to make sure every package gets scanned during the Holiday season.

I get in line each day I go to the Post Office to get them scanned. If I don’t, sometimes the package won’t get scanned until it hits the delivery city.
It’s funny, I don’t have any of these issues at FEDEX. I just drop it off and every package gets scanned every time.

According to post office regulations, each post office facility has to clear out all packages at the end of each business day but that does not necessarily mean they are scanned. That also does not mean that packages are not open to being missed placed in the days handling of them before they are sent to and/or get to the distribution center. Sometimes they are not scanned until they get to the main distribution center. If they are behind or the package gets misplaced in the facility, it may extend the time in which the package is scanned.
I would offer that (especially during the holiday season rush) you take all packages to the post office, wait in line, have them scanned, and then ask for a receipt. This should do the trick, but if for some reason the tracking does not upload to show that you actually had the packages scanned, the receipt will show proof of the scan.

We ship USPS and request a carrier pickup every day. When the carrier arrives she comes in, scans the packages, and then carries them back to her vehicle. We often help her with the packages if we’re available but if we’re not, she knows exactly what to do and we’ve never missed a scan. They are in the system immediately. It’s great for our business and we always tip her nicely at the end of the year. Sure beats trying to go to the post office every day! Could this work for you?

I usually stand in line at the Post Office, but now if it is busy I just say hello to the clerk, drop my parcels at the side of the counter, and they print off a receipt later in the day and leave it in my mailbox.
I’m in a very small town, but may be an option if you work it out with your local Post Office.
